Purpose of the Position

The Program coordinator will provide leadership to all administrative functions, processes and systems of the Foundation and will be responsible for effectively communicating with clients, staff, contractors, and volunteers.  This includes being responsible for the administration and management of the strategic direction set by the Executive Director and Board of Directors.

Scope

The Arctic Indigenous Wellness Foundation (“AIWF”) is a registered society in the Northwest Territories and has charitable status with the Canada Revenue Agency. The mandate of the organization is to promote arctic indigenous health and wellness by establishing and maintaining a traditional wellness facility or facilities in the Arctic, providing culturally applicable health, healing and related services conducted within its facility through on and off-site support programs which include providing traditional medicine and wellness services for families, youth, elders, victims of family violence and homeless populations in the Arctic.   The mandate also includes improving health services and programs at local hospitals and health clinics as a health and wellness partner by conducting training and education programs for northern stakeholders and research partners on traditional health research and methodologies; and conducting training and education a new generation of indigenous traditional healers to serve their communities.

Individuals seeking traditional counselling services are invited to attend the camp and speak with Traditional Counsellors, participate in various activities, and partake in refreshments. The camp is open Monday through Friday during the day (weather permitting). Individuals from the Yukon, Northwest Territories and Nunavut are funded by the Government of Canada to attend the camp and individuals from the Yellowknife area are also encouraged to drop by the camp.

Responsibilities

Leadership

  • Acts as first point of contact with the public, media, and the business community on all aspects of the Foundation’s work.
  • Coordinates presentations and special visits to the Wellness Camp.
  • Fosters financial partnerships with community members.
  • Represents the Foundation at community activities.

Support Board of Directors

  • Works with the Board to set the strategic plan of the Foundation.
  • Informs the Board of internal and external issues that impact the Foundation.
  • Works with elders to support the vision of the Foundation.
  • Provides administrative and logistical support to the Board.
  • Acts as an advisor for the Board.
  • Arrange and attend the annual general meeting of the Foundation and the monthly Boards meetings.
  • Conducts official correspondence on behalf of the Board.
  • Conducts research and analysis to bring recommendations for the Board’s consideration.

Operational Management and Planning

  • Monitors and evaluates the Foundation’s operations, recommending and implementing changes as needed to continuously improve performance.
  • Develops an operational plan that incorporates the goals and objectives as outlined in the strategic plan.
  • Oversees the day-to-day operations of the Foundation.
  • Drafts policies for the approval of the Board.
  • Ensures that the donor files are properly maintained and secure.
  • Hires, trains, and supervises support staff, contractors, and volunteers.

Financial Management

  • Works with the Finance Contractor to monitor the Foundation’s financial performance to ensure its stewardship responsibilities are met and the operation is sustainable.
  • Works with the Board to prepare an annual budget.
  • Approves expenditures within the authority delegated by the Board.
  • Works with the Finance Contractor to monitor the monthly and annual bookkeeping completed by the external bookkeeper.
  • Works with the auditors to ensure that the audit is completed in a timely manner.
  • Works with the Finance Contractor to ensure compliance with all legislation regarding payroll, taxation, WSCC, NT Payroll Tax.  This includes the monthly payroll remittances and annual reporting requirements.
  • Ensures compliance with CRA Charity Directorates including the annual filing of the charity return.
  • Develops, implements, monitors and continuously improve suitable internal controls and systems.

Qualifications

Knowledge, Skills, Abilities

  • Knowledge of leadership and management principles for a foundation/charity.
  • Knowledge of marketing strategies for fundraising based organizations.
  • Knowledge of basic financial concepts and managing an organization.
  • Knowledge of all federal and territorial legislation that applies to charities and foundations.
  • Proficient in Microsoft Office applications including Outlook, Word, Excel, PowerPoint.
  • Strong written, oral, and interpersonal communication skills.
  • Strong leadership skills.
  • Ability to manage fundraising projects and meet deadlines.
  • Ability to make sound and quick decisions.

 

Typically, the above qualifications would be obtained by:

  • 5 or more years of experience in a not-for-profit organization or charity
  • Education – college or university, university degree in a related field is preferred, or equivalent experience.
